It's the week of Halloween, so we're telling ghost stories. But we're not talking about haunted houses. We're talking about the haunted file room: the invoice that vanished the day the auditor asked for it, the box of paper nobody dares open, and the spreadsheet that only one person understands.

If you run IBM i, you probably recognize at least one of these. The good news is that none of them are supernatural, and every one of them has a fix.

Live From IBM TechXchange 2026

Before the stories, some news from the road. RVI President Monty Chicola, an IBM Champion, is at IBM TechXchange 2026 this week. IBM gives the Champion recognition to people who share their expertise and advocate for IBM technology in the community, and it comes with its own events at the conference. Monty gave a short guest talk there, and he's also there to learn: IBM's AI knowledge sessions are a big part of the agenda, and AI is a topic every IBM i shop is asking about right now.

The booth photo at the top of this post is our favorite moment so far. One of our videos, AI with RVI, is playing on the screen at the IBM Power tech desk. It's a good reminder of where this is headed. AI on IBM i is no longer a roadmap slide, and it's a big part of the conversation at IBM's own event. If you want the background, our posts on how IBM is betting on AI and Monty's visit to IBM Rochester cover how we got here.

Ghost Story #1: The Document That Vanished

Someone needs a signed purchase order from three years ago. It isn't in the folder it should be in. It isn't in the next folder either. Eventually somebody finds it, filed under the wrong vendor name, because a digit was mistyped when it was indexed.

A document without good index data is a ghost. It exists, but nobody can see it. Barcodes, OCR, and AI-assisted indexing exist to keep that from happening, so the data is read off the page instead of typed in by hand. We cover how the pieces fit together in From Scan to Searchable.

Ghost Story #2: The Phantom Paper

Your IBM i already produces invoices, statements, and reports every day. Too often they get printed, filed in boxes, and never seen again, or they sit in a spool file until someone remembers to look. They're paper that was never there to begin with.

The fix is to capture those documents straight from the spool, with no printing and no scanning, so they land in a searchable repository the moment they're created. Our post on spool file capture explains how.

Ghost Story #3: The Knowledge That Lives in One Head

This is the scariest one, and the one we hear about most. A long-time employee knows where everything is. They know which folder, which naming trick, which report to run. Then they retire, and that knowledge walks out the door with them.

No amount of garlic fixes this one. What does is moving that knowledge out of people's heads and into the system: documents indexed consistently, searchable by what's actually in them, and routed by rules instead of by who happens to remember. It's the same reason we wrote about the signs your workflow needs an upgrade.

The common thread: every ghost in the file room is really a findability problem. If a document can't be found, routed, or retained properly, it might as well not exist.

Where AI Comes In (and Why It's Not Scary)

AI gets a spooky reputation, but in document management its job is simple and practical. It looks at what a document actually contains and helps with the work your team does by hand today:

These run natively alongside your existing IBM i environment and data. You don't need to move off the platform to get them. RVI is already delivering these capabilities in production to customers today. You can see what's available on our AI features page and our recognition features page.

Break the Curse This Halloween

You don't have to exorcise the whole file room at once. Pick the one ghost that haunts your team the most, whether that's the lost invoice, the phantom paper, or the knowledge nobody wrote down, and start there. The steps for going paperless are a good place to begin.

Happy Halloween from all of us at Real Vision Software. And if you're at TechXchange this week, stop by and say hello to Monty.
